Fact Sheet | Filing A Financial Statement Online
This service allows you to file a financial
statement for your Incorporated Society under the Incorporated Societies
Act 1908. Charitable trusts are not required to file financial
statements under the Charitable Trusts Act 1957.

IMPORTANT NOTE
If an Incorporated Society is registered with the
Charities Commission they no longer need to file their annual
financial statements with the Registrar of Incorporated Societies.
They must, however, continue to file other changes in the societies
details (e.g. Rules, name, addresses)

The registry key is required to use this service. The financial
statement must be in electronic Microsoft Word, WordPerfect, Excel or
PDF format.
Filing a financial statement procedure

Select Maintain
Organisation Details - File A Financial Statement from the menu on the
left of the screen. If you are not logged on as a registered user, the
Logon screen will be displayed. Either Logon if you are
a registered user or select Continue to proceed as a casual
user.

If this is the first time
you are using this service in this session, a help screen will be
displayed. Select OK to continue.

Enter the organisation
number, or use the Locate Organisation button to search for and
select the organisation number.

Select Continue to
display the Your Contact Details screen.

Casual users should
enter their contact details.

If you logged on as a
registered user, these details will be entered for you. Check your
phone, fax and email details and edit them if required.

If you want to retain
your contact details for the rest of this session, check the Save
contact details for this session box.

Select Continue.

Enter the registry key
for your society and then select Continue to display the
Submitted Financial Statement screen.

TIP
The key is case
sensitive - any CAPITAL LETTERS in the key must be entered as
CAPITALS and not as lower case characters. |

Enter the date that the
financial statement was submitted to and approved by the members of
the society. (Please use the format dd/mm/yyyy eg. 31/12/2003)

Use the pick list to
select the year for which the financial statement is being filed. For
example, if the financial year was for March 2003 to February 2004,
select 2004.

Your name will be copied
into the Name field from the Your Contact Details screen.

Enter your role in the
society in the Position field.

To upload the financial
statement:

Select the Upload
Statement button.

Either enter the file
name into the field provided or click on the Browse button to
locate the document on your PC you wish to upload.

Click once to select
the document then click the Open button.
The accepted file formats

Select the Upload button to upload the
document you have selected

TIP
From the Submitted
Financial Statement screen you can choose to Preview
the document you have uploaded. Previewing your uploaded
document helps to ensure that you have selected the right
file. If you find that you have uploaded the wrong document,
choose the Upload Statement button to replace this with
the correct financial statement. |

Select Submit Changes
and your financial statement will be uploaded automatically and we
will display a confirmation screen. Select [Ctrl] + [P]
to print a copy of this confirmation, if required.
The financial statement can be immediately viewed online by carrying
out a registry search on the society and selecting the document from
the Documents Registered section on the Search Results
page. The financial statement AGM details that you entered will also
be available as a separate document.

TIPS
The financial statements do not need to be audited, UNLESS the
rules of the society require that an auditor be appointed.
If you need to file financial statements for more than one year,
please submit this document and then start this process again
for a new year. |
